1. Who we are (responsible party)

Rowell Holdings (Pty) Ltd (registration number 2022/329186/07) ("Rowell Holdings", "we", "us") is the responsible party under the Protection of Personal Information Act, 2013 ("POPIA") for personal information processed through this website, rowellholdings.co.za.

2. What personal information we collect

  • Free assessment form: your email address, and (optionally) your company name, company size, project timeline, current tools/systems, and a free-text description of your business challenge.
  • Direct contact: anything you send us by email, phone, or WhatsApp.
  • Call bookings: information you provide to Calendly when booking a call with us (name, email, and any notes you add).
  • Website usage: analytics data collected via Google Analytics (pages viewed, approximate location, device and browser type). This is pseudonymous and we do not use it to identify you.
  • Technical logs: our server records your IP address when you submit the assessment form, used solely for rate limiting and abuse prevention.

3. Why we process it (purpose and lawful basis)

  • To deliver the assessment you requested — processed with your consent, which you give by ticking the consent box on the form. This includes emailing you a verification link and your assessment report.
  • To follow up on your enquiry — processed on the basis of our legitimate interest in responding to people who have asked about our services. You may opt out at any time.
  • To keep the website secure (rate limiting, abuse prevention) — legitimate interest.
  • To understand how the website is used (analytics) — legitimate interest in improving the site.

We do not sell personal information, use it for automated decision-making with legal effect, or send unrelated marketing.

4. How long we keep it

Assessment submissions and related correspondence are retained for up to 24 months after our last contact with you, after which they are deleted unless we are engaged in active business with you or are required by law to retain them longer. Analytics data is retained according to Google Analytics' standard retention settings.

5. Who we share it with (operators and third parties)

  • Email delivery: our email/SMTP hosting provider processes messages sent to and from info@rowellholdings.co.za, including assessment reports.
  • Calendly LLC: if you book a call, your booking details are processed by Calendly under its own privacy policy.
  • Google LLC (Google Analytics): pseudonymous website usage data.

Some of these providers store data outside South Africa. Where personal information is transferred across borders, we rely on the safeguards in section 72 of POPIA (recipients bound by laws, binding corporate rules or agreements providing an adequate level of protection, or your consent).

6. Security

We take reasonable technical and organisational measures to secure personal information, including transport encryption (HTTPS), access limited to those who need it, single-use verification links, and rate limiting on our forms. No system is perfectly secure; if we become aware of a breach affecting your personal information, we will notify you and the Information Regulator as required by section 22 of POPIA.

7. Your rights under POPIA

  • Request access to the personal information we hold about you;
  • Request correction or deletion of your personal information;
  • Object to processing, including for direct marketing;
  • Withdraw consent at any time (this does not affect processing that happened before withdrawal);
  • Complain to the Information Regulator (South Africa): inforegulator.org.za, complaints.IR@inforegulator.org.za.

To exercise any of these rights, contact our Information Officer (section 8). We will respond within a reasonable time and in any event within the periods POPIA requires.
